Saving Outlook emails in Microsoft Teams

Microsoft Teams provides excellent support for chat-based collaboration.  However, out-of-the-box Teams does not provide a great experience for managing Outlook emails. You can address this by using MacroView in conjunction with Teams.

Microsoft Teams + MacroView Solution

A Microsoft Teams + MacroView solution:

  • Lets you drag and drop in Outlook to save emails to a selected area in Teams
  • Records the attributes of the email (e.g. To, From, Subject, Received Time, etc.) automatically as it saves an email
  • Automatically names the saved emails in Teams to prevent duplicate copies of an email in a Teams area (handy in case other recipients attempt to save the same email)
  • Adds an Emails view to the Teams library, so that you can see the saved emails and their attributes
  • Lets you drag and drop attachments or files in Windows folders to save them to a selected area in Teams
  • Makes it easy to retrieve files from Teams and insert them as attachments or links in a new Outlook email
  • Lets you ‘slice and dice’ the emails and other files in a Teams folder, based on their metadata and / or words they contain
  • Lets you search across the Teams for which you have permission for emails and documents based on their metadata and / or content, while you continue to work in Outlook.

All the above functionality is available when you are working in MacroView DMS. MacroView Provisioner makes it easy to extend a Teams library so that it has the metadata and views to enable excellent management of emails.

 

MacroView Mail

If you are working in Outlook Web Access, or in the Outlook app on an iOS or Android mobile device or Outlook on a Mac, MacroView Mail provides a great experience as you save emails and attachments to areas in Teams.

MacroView Mail also provides great support for finding files in Teams and insert them as attachments or links in a new email in OWA. Being able to work in Outlook Web Access, mobiles and Macs means is particularly relevant when you are working from home – you can still manage Outlook emails effectively in Microsoft Teams.
