Whilst migrating user mailboxes to Exchange Online in Microsoft 365 is straightforward, there are size limitations imposed that can disrupt even the best-laid plans. Many organisations struggle with bloated public folders and shared mailboxes, particularly in a hybrid and cloud-first world. This presents challenges when handling legacy, out-of-support on-premises Microsoft Exchange Server installations.
Larger mailbox stores – such as those that include public folders – can be problematic and pose an issue regarding their size and how the data should be stored to maximise the collaborative benefits of Microsoft 365. Often the answer is to retire the public folders in favour of a more structured, SharePoint-based store. The challenge is migrating the content from Exchange to SharePoint, maintaining its integrity and eliminating duplication where possible.
MacroView Migration is an easy-to-use but flexible migration framework that supports targeting content in Outlook and the Windows file system. By connecting to Outlook, it can easily migrate data from Exchange to SharePoint by applying user-defined rules that are built using a visual designer. It supports simple lift-and-shift workflows right through to complex business logic that can examine source content and adjust the destination structure to suit. Best of all, no IT intervention is required to conduct a migration. No special permissions are necessary; if the content is visible in Outlook, it can be migrated.
Public folders are often filled with duplicate content as the same emails have been copied in by different users over time. MacroView Migration applies a consistent file naming convention to identify and eliminate these duplicates when migrating this content. These migrated emails also have their metadata automatically extracted to improve searchability and aid with building SharePoint views that are familiar to end users.
Tackle any sized mailbox store with MacroView Migration. With a small amount of planning, even the most extensive migration tasks can be completed on time and successfully. All migration activity is logged and available for review to confirm integrity. Following Microsoft recommendations for migration MacroView Migration makes it simple to navigate Microsoft 365 resource throttling enforcement that can often disrupt these activities.
